For Wedding Couples
This letter follows our email correspondence during which we discussed your wedding and my professional role in helping you plan it.
It is my understanding that you will retain me as a Professional Wedding Travel Consultant for your wedding scheduled for an agreed upon date.
Description of Services:
As a consultant, my role includes:
- Customized venue research, comparison, and selection. Includes a personalized property proposal
- 4 online video calls + unlimited email consultation (topics include venue selection, room block creation, initial wedding planning consultation, wrap-up approximately 30 days before your wedding)
- Booking of venue, including all follow-up as needed
- Creating your custom wedding website
- Coordinating group booking
- Travel coordination of airport transfers to the resort
- Reservation tracking
- Vendor recommendations
- Support in coordinating the welcome/rehearsal coordination with the resort
- Post-wedding activities (on property or through our selected vendors)
- Negotiate + review all contracts between the couple and the resort
- Vendor contract review (upon request)
- Create a customized planning document and provide expert guidance along the way
- Custom digital itinerary for you and your guests
- Point of contact for all guests regarding travel and/or wedding, before/during their trip
Signature Destination Weddings will not act as an on-site coordination on the day of your wedding. If you desire the team at Signature Destination Weddings to be on-site during your wedding, this may be requested in writing. Additional fees for on-site wedding coordination are quoted on an individual basis. These fees start at a minimum of $4,800 and will be discussed with you. Please note these services are limited to availability.
As the client, you will rely on Signature Destination Weddings to work as many hours as may be reasonably necessary to fulfill their obligations under this agreement.
Conditions
− The couple understands that Signature Destination Weddings’ role will be that of the advisor and coordinator. The couple will make the actual selections of service providers and Signature Destination Weddings will implement those selections.
-The couple is responsible for direct payment of their venue, hotel, and vendors. Signature Destination Weddings assumes no responsibilities for nonperformance of the venue, hotel, and or vendors due to non-payment or missing payment.
− It is also the couple’s responsibility to notify Signature Destination Weddings of any changes in a timely manner. Signature Destination Weddings shall not be held liable for any changes made by the couple or their selected service providers.
-Signature Destination Weddings is able to book selected excursions, selected trip extensions, and in-country transfers upon request
− Signature Destination Weddings’ will use their professional judgment when taking action regarding changes, weather, tardiness, non-performance, etc. based on the situation, time limitations and/or the client’s wishes.
– Signature Destination Weddings will make a good-faith effort to accommodate changes based on the client’s needs. Significant changes must be requested in writing and include changes to the wedding date, guest count, venue selection, resort selection, and major vendor selection. These significant changes will incur a $500 USD change fee payable to Signature Destination Weddings before any further work may be completed.
-Signature Destination Weddings functions as a full-service travel agency. 90% of wedding guests must book the minimum night stay as stated on the room block contract through Signature Destination Weddings. Failure to meet this threshold will result in a $100 penalty per room to Signature Destination Weddings 7-days after room block final payment.
– As the client, Signature Destination Weddings expects you to respond to questions, and inquiries, and make decisions promptly (within 3 business days). Should communication be significantly delayed, Signature Destination Weddings will inform you , in writing, that further delays may result in Failure to do so may result in the cancellation of this contract.

The full package rate is due upon agreement and is non-refundable.
Term/Termination
This agreement will terminate automatically upon completion of the services required by this letter of agreement.
Changes/Cancellations
Any changes made to this letter of agreement must be made in writing and signed by all parties (or confirmed in writing via email). You may cancel this agreement, in writing, for any reason. If the wedding is canceled, refunds are limited to unearned fees, funds in excess of unused or non-refundable fees, and out-of-pocket expenses. If you cancel less than 60 days before the wedding there will be no refund should Signature Destination Weddings deem it necessary. If the wedding is not canceled, there will be no refund of the initial fee or any commissions earned by your hotel venue or vendor.
Signature Destination Weddings is not responsible for cancellation terms and/or fees set by your venue or vendor.
Planning and consultation services are valid for up to 24 months after the signing of this contract. Should the wedding be delayed past 24 months a new contract and initiation fee will be collected before consultation services resume.
Acts of God
If an act of God, such as a fire, flood, earthquake, hurricane, or other natural calamity causes you or your vendors or venue to cancel your wedding (or their services), cancellation policies will refer back to your hotel, venue or vendor. Your initiation fee is non-refundable
For Wedding Guests and Couples
Wedding Group
To be considered a part of the wedding, you must book through this group room block and not through any other method (even directly with the hotel). We offer contracted group rates that have been secured through a room block to make this as easy as possible. To participate in all of the wedding-related activities, you must stay at the host property as part of the wedding group.
Minimum Stay:
There may be a minimum night stay at the resort for wedding guests and couples. Please refer to the terms + conditions on your travel quote for specifics.
Deposit Policy:
In order to reserve your room, wedding guests may need to pay a deposit it is required upon receipt of this invoice. This will be collected via a separate email with a credit card authorization form. Visa, Mastercard, and Amex are accepted. This deposit is nonrefundable. The remainder of the balance is due at a certain date for each wedding. Please refer to the terms + conditions on your travel quote for specifics.
Final Payment Policy:
All final payments will be charged automatically days before to the same card used for deposit. If you wish to use a different card, you must contact your travel advisor in writing one week prior to the due date.
Changes + Cancellation Policies:
- All changes + cancellations must be received in writing to your travel advisor. Some changes to your reservation are allowed, pending availability but they are at the discretion of the resort.
- Initial deposit plus tax is non refundable.
- There are no refunds for cancellations a certain number of days or fewer prior to arrival date. Please refer to the terms + conditions on your travel quote for specifics.
- The initial deposit is not refundable
- There are no refunds for no shows, late arrival, or early departure including reasons such as medical emergencies, airline delays, strikes, weather or other acts of God.
- Travel protection plans are strongly encouraged. Get a quote for a travel protection plan here.
Travel Protection Plans:
Having travel insurance is important and we recommend it to everyone. Depending on the option you chose it may cover trip cancellation and many other things like unexpected medical expenses, baggage and flight delays.
By signing below, I acknowledge that I have been provided information and given the opportunity to purchase travel insurance and understand that declining travel insurance could result in the loss of my travel cost and/or require more money to correct the situation. I acknowledge that without travel insurance, there may be no way to recoup any losses, costs or expenses incurred. I acknowledge that the price of travel insurance IS NOT included in my room rate and is non-refundable.
Signature Destination Weddings is not a licensed Insurance Agency and therefore cannot answer questions regarding any travel insurance policies. **If you have any questions about travel insurance please give Travel Insured a call at 800-243-3174.** The option to add travel insurance is solely for your convenience. If you would like to check out travel insurance for your trip please visit this website. This is the insurance company we personally like and suggest, however, you are welcome to purchase travel insurance through any entity that you choose.
Not purchasing travel insurance could result in the loss of your travel cost and/or require more money to correct the situation. Without insurance, there may be no way to recoup any losses, costs, or expenses incurred and the price of travel insurance IS NOT included in the price of the room selections and is non-refundable once purchased. Having travel insurance is definitely important and we recommend it for everyone. We personally buy it for our trips. However, the option to purchase travel insurance is solely up to you and you may purchase it through any insurance company you would like. Get a quote for a travel protection plan here.
Bedding Requests:
Unless explicitly noted in the room category, bed configurations (for example 1 king bed vs 2 double beds) are on a request basis only, based on availability, and are not guaranteed. However, we will communicate your bedding configuration request with the hotel.
Travel Documents:
Travel documents will be sent to you no later than ten (10) days prior to departure date. Please read through these documents for accuracy immediately; misprints, misspellings, incorrect dates etc. are not the responsibility of Signature Destination Wedding or The Journey Group Travel. Included in your travel documents (if airfare is purchased through us) are airline electronic ticket receipts (proof of purchase, not boarding passes or actual tickets).
Americans with Disabilities Act
Since the hotel is not located in the United States, they’re not required to be in compliance with the U.S. Americans with Disabilities Act of 1990. The Hotel has a limited number of accessible guest rooms that are available on a first-come, first-served basis. We can request an accessible room for you but it’s never guaranteed. Also, public areas and restaurants at the Hotel are wheelchair accessible, just not wheelchair friendly.
Requirements and Restrictions
I understand that due to COVID-19 changes to travel requirements & restrictions can occur at any time and are completely out of the control of Signature Destination Weddings.
Passports:
I understand that everyone (including children) staying within my reservation and attending this event must have a valid Passport to enter the country. Also, I acknowledge that everyone staying within my reservation currently has a Passport that is valid for at least 6 months after the return date of my reservation or will obtain one before departure. TERMS + CONDITIONS:
By accepting this invoice and making a deposit on your trip, you agree to all terms and conditions found on this invoice and our full booking terms found here.
By booking your travel arrangement with us, you are agreeing to be bound by the terms of this agreement (“Agreement”) and any additional terms and conditions of any suppliers that are applicable to your booking arrangements. The lead guest is required to provide contact information to Signature Destination Weddings for each guest in their group and assumes the responsibility of sharing these terms and conditions with the entire group, including payment of all amounts when due.
It is the responsibility of each passenger to read Signature Destination Weddings’ Terms and Conditions in its entirety. In addition, Signature Destination Weddings reserves the right to modify these Terms and Conditions, from time to time, and will submit an update via email and/or the company’s website notifying of such changes.
By reviewing this full Agreement and signing below, I agree to the following terms and authorize Signature Destination Weddings to charge the credit card I have provided.
- I understand that Signature Destination Weddings acts solely in the capacity of a sales agent for the suppliers providing the travel services in connection with my trip, including but not limited to airlines, hotels and resorts, tour operators, transfer operators, sightseeing/excursion operators, shuttle providers, and providers of entertainment and wedding-related services. Signature Destination Weddings assumes no responsibility for any personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity that may be occasioned either by (a) any act or omission of any of the suppliers or (b) any matter beyond our exclusive control involving them, including but not limited to a delay or cancellation of a flight that causes me to miss any portion of the trip.
- I understand that Signature Destination Weddings is not responsible for denied boarding and/or denied entry into any country for any guest. I understand that all guests are responsible to ensure that they have all the proper documents for entry. All names on documents must match the legal name on the guest’s photo I.D., and travel document information must match tickets. I understand that minors unaccompanied by birth parents will need a permission letter for travel outside the United States. I understand that any traveler with criminal convictions may be denied entry to certain countries and that any issues (such as, but not limited to, legal convictions, arrests, warrants, child support issues, or other extenuating circumstances) may also result in denied boarding or denied entry into any country. Each guest is responsible for determining if issues are present with the immigration/customs process into a foreign country. Travel insurance does NOT cover denied boarding/entry due to legal issues and being denied boarding/entry will result in a complete financial loss associated with my trip.
- I understand that a passport is required for international travel, including for children & babies, and that for some countries passports must be valid for a certain period of time AFTER RETURN DATE OF TRAVEL. I understand it is my responsibility to review and understand passport requirements and travel advisories for both the United States and the destinations I will be visiting.
- I understand that Signature Destination Weddings is not an agent of the selected hotel (“Hotel”) and has no control over cancellation and/or refund policies and other rules mandated by the Hotel. I understand that group contracts for corporate events and/or wedding groups have unique policies and terms that may not be the same as an individual reservation.
- I certify that I will verify all the information contained in the confirmation email I receive is accurate and I will ask for any corrections within 24 hours of receiving the email. If I do not update the information within this period, it will be deemed correct by Signature Destination Weddings.
- I understand that Signature Destination Weddings is not an Insurance Agency and that third-party Trip Protection/Travel Insurance is optional, and the cost is non-refundable once purchased. I understand that Signature Destination Weddings cannot sell, solicit, or negotiate travel insurance policies and that Signature Destination Weddings has not made a binding assurance or promise about insurance coverage. I acknowledge that Signature Destination Weddings has advised me about purchasing Travel Insurance and the possible results if I choose not to purchase Travel Insurance or Travel Protection Plans.
- I acknowledge and understand that it is my responsibility to comply with the government’s rules in the destinations I’m visiting, that are in effect during my trip. Government officials in the destinations I visit may change entry requirements, health protocols, and other rules for inbound visitors (including the possibility of health screenings, tests, and even mandatory quarantines) at their discretion and with little or no advance notice. I acknowledge and understand that the coronavirus (COVID-19) remains highly contagious and is expected to cause regional outbreaks for the foreseeable future, which may affect travel and flights reserved during this period. All guests who are senior citizens and those with underlying medical conditions are especially vulnerable to COVID-19, and each guest must consider the inherent risk of exposure and infection when making travel plans. In the event of health pandemics or states of emergency, the suppliers and/or resorts operating guests’ trips may change, delay, or cancel the services offered for the trip at their sole discretion and with little or no advance notice. I acknowledge and understand that Signature Destination Weddings is a sales agent and has no control over these decisions and cannot be held liable for them.
- I understand that this Agreement shall be governed by and construed under the laws of the State of Colorado without regard to any conflict of law provision. This Agreement is performable in whole or in part in Denver, Colorado. The parties hereby irrevocably submit to the exclusive jurisdiction of any state or federal court located in Denver, Colorado, over any suit, action, or proceeding arising out of or related to this Agreement.
- I understand by signing this that the Terms & Conditions apply to everyone on the reservation.
